Pūhoro Charitable Trust is seeking a proactive and detail-oriented Executive Assistant to the Manahautū to provide high-level administrative and secretariat support. This role is critical in ensuring the effectiveness of our Manahautū and wider executive functions.

About Pūhoro Charitable Trust

Pūhoro Charitable Trust is dedicated to increasing Māori participation and success in STEMM (Science, Technology, Engineering, Mathematics, and Mātauranga). Operating across 13 regions in Aotearoa, we support over 3,000 rangatahi Māori through innovative programmes, strategic partnerships, and cultural empowerment. Our mission is to drive meaningful change in the STEMM landscape, ensuring rangatahi thrive and lead in the sector.

The Role

We are looking for an experienced administrator to support the Manahautū and lead Board secretariat responsibilities, including:

  • Executive Assistance: Manage the Manahautū’s calendar, email correspondence, and administrative priorities to ensure efficiency and timeliness.
  • Secretariat Support: Attend Board meetings, prepare and file minutes, and coordinate the delivery of Board Packs in advance. Maintain accurate Board documentation using our internal filing systems.
  • Operational Oversight: Support the management of insurance records, fleet and asset registers, and contribute to HR administrative needs as well as travel and procurement requirements.
  • Collaboration & Events: Work alongside the wider Pūhoro team to provide administrative support at events and coordinate with stakeholders as required.
  • Confidentiality: Maintain discretion in managing sensitive organisational and leadership information.
  • Health & Safety: Be a staff representative on the Pūhoro Health, Safety and Wellness Committee.

This role provides an excellent opportunity to work closely with senior leadership, support kaupapa Māori initiatives, and contribute to Pūhoro’s continued success.

About You

We’re looking for someone who is dependable, solutions-focused, and thrives in a busy kaupapa Māori environment. You will ideally bring:

  • Proven experience in executive support, administration, or office coordination roles.
  • Strong organisational skills, with the ability to multitask, meet deadlines, and manage sensitive information with care.
  • Excellent written and verbal communication abilities.
  • Functional proficiency with Microsoft and Google Office Suites.
  • Familiarity with te ao Māori and a commitment to kaupapa Māori values.
  • Understanding of Māori kawa and tikanga is desirable.

Position Details

Location: Pūhoro Office – Palmerston North
Reporting to: Manahautū
Contract Type: Full-time (37.5 hours), 12-month fixed term
Salary Band: Step 4 ($62,500 - $83,000)
